OPERATIONS MANAGER

About the Role:

The full-time operations manager will systematize and manage processes to optimize the internal and external systems needed to consistently deliver and develop excellent client products, with an eye on both culture and efficiency. You will work closely with the leadership team to achieve these responsibilities, and to support the overall success of the organization through ad-hoc tasks:

Specific responsibilities include:

Finance

  • Produce and deliver client contracts and invoices; and ensure timely completion

  • Review operational invoices and expenses and ensure they are submitted for payment

  • Manage internal financial reporting, budget and cash flow projections

  • Manage external financial reporting with the support of a bookkeeper & accountant

Operations

  • Contribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans; contribute to internal and external reports

  • Analyze process workflow, communication systems, finance tracking systems, HR protocols, employee, and space requirements; design and implement changes

  • Work closely with the leadership team to set and/or implement policies, procedures and systems to optimize organizational effectiveness and efficiency

Admin

  • Proactively schedule internal and external meetings and respond to inbound requests

  • Manage travel and logistics for the team

Communication

  • Maintain the client CRM and mailing lists; and manage the output of monthly newsletter through MailChimp

  • Prepare proposals and reports based on predefined templates and content

Qualifications:

  • 5+ years in operations

  • Acumen working with QuickBooks online and comfort with financial reporting

  • Formal training or work experience in project management

  • Strong preference for the candidate to be in Vancouver, BC
